Reports
Reports help you analyze purchasing, inventory, products, customers, delivery locations, and order activity.
Bestellfix uses your order data, inventory movements, product data, delivery locations, and filters to create structured reports.
What Reports Do
With reports, you can:
Review inventory stock and movements
Analyze COGS and inventory value
View customer and client reports
View vendor order reports
View product reports
Create delivery location reports
Export report data as CSV
Export selected reports as PDF
Save report configurations
Create background export jobs

Report Types
Bestellfix supports several report areas.

Inventory Report
The inventory report gives a general overview of ingredient stock, movements, costs, and recipe-related activity.
It is not tied to one POS integration.
The report can include:
Field Meaning Ingredient Ingredient included in the report Storage unit Storage location Current stock Current calculated on-hand quantity Movements Inventory ledger entries Cost Inventory value or movement value Recipe Recipe-related usage Transaction type Receipt, issue, waste, transfer, or adjustment Activity Whether there was movement in the selected period
Inventory Report Filters
The inventory report can be filtered by:
Filter Meaning Company Company to report on Date from Start date Date to End date Ingredient IDs One or more selected ingredients Storage unit IDs One or more storage locations Recipe IDs One or more recipes Transaction types Receipt, issue, waste, transfer, adjustment Has activity Show only ingredients with activity Current stock minimum Show stock above a minimum value Current stock maximum Show stock below a maximum value Limit Limit the number of returned rows
Date filters use the full day.
Filter Time used Date from 00:00:00 Date to 23:59:59
On-Hand Report
The on-hand report shows current stock by ingredient and storage unit.
It is calculated from inventory ledger quantities.
Field Meaning Ingredient Ingredient ID Storage unit Storage unit ID On hand Sum of all ledger quantities
You can filter by:

COGS Report
The COGS report calculates cost of goods sold from inventory ISSUE movements.
It uses the value of issue ledger entries in the selected date range.
Field Meaning Company Company being analyzed Date from Start date Date to End date COGS value Sum of issue movement values
COGS is based on posted inventory issue movements. If POS sales or recipe deductions were not posted, they will not be included.
Client Report
The client report is mainly for vendors.
It shows customer companies connected to the vendor.
The report can include:

Order Report
The order report shows vendor order activity.
It can include:
Field Meaning ID Order ID Order number Bestellnummer Placed at Date and time the order was placed Status Order status Customer name Customer company Vendor name Vendor company Customer number Vendor-specific customer number Items count Number of order items Status updated at Last status update
Archived orders are excluded.
Product Report
The product report shows product data and order activity.
It can include:

Delivery Location Report
The delivery location report shows all deliveries for one selected delivery location within a date range.
It supports JSON, CSV, and PDF output.
Required fields:
Field Meaning Delivery location Delivery location to report on Date from Start date Date to End date
Effective Delivery Date
The delivery location report uses an effective delivery date.
Bestellfix checks dates in this order:
Delivery date
Estimated delivery date
Placed at date
This means that if an actual delivery date exists, it is used first.
Delivery Location Report Fields
The delivery location report can include:

Received Quantity in Reports
If an order item has a received quantity, the delivery location report uses it.
If no received quantity exists, the report uses the original ordered quantity.
Situation Quantity used Item was received Received quantity Item was not received Ordered quantity
Product Exclusion from Partner Reports
Products can be excluded from partner reports.
If a product is marked as excluded, it will not appear in the delivery location report.
Use this for products that should not be shown in partner-facing delivery reports.
CSV Exports
Several reports can be downloaded as CSV.
CSV exports are useful for:
Excel analysis
Accounting
Vendor reporting
Delivery checks
Internal controlling
Data backups
For German-language delivery location reports, CSV files use semicolon separators.
PDF Exports
Delivery location reports can also be exported as PDF.
PDF reports are useful for:
Sharing with team members
Sending to partners
Printing
Archiving delivery summaries
Available Report Filters
Bestellfix can return available filters and columns for configurable reports.
Supported configurable report areas include:

This helps build custom report views.
Saved Report Configurations
Report configurations allow users to save selected report settings.
A configuration can include:
Field Meaning Report type Clients, orders, or products Filters Saved filter settings Columns Selected columns User Owner of the configuration
Saved configurations can be opened again later to return the same report structure.
Report Configuration Data
When a saved report configuration is opened, Bestellfix rebuilds the report with:
The saved report type
The saved filters
The saved columns
The current available data
Saved report configurations store the report setup, not a frozen copy of old results.
Report Export Jobs
Report export jobs create downloadable files in the background.
This is useful for larger reports or bundled exports.
A report export job can include:

Export Job Status
Export jobs can have different statuses.
Status Meaning Pending Export was created and is waiting Processing Export is being generated Completed Export is ready for download Failed Export could not be created
Downloading Export Files
Completed export jobs can be downloaded through a temporary download link.
The download link is time-limited.

A report export can only be downloaded after the export job is completed and a file is available.

Troubleshooting
Inventory Report Shows No Data
Check that:
The correct company is selected
The date range contains inventory movements
Ingredients exist
Storage units exist
Filters are not too restrictive
Inventory ledger entries exist
COGS Is Zero
Check that:
There are ISSUE movements in the selected period
POS sales or recipe deductions were processed
Weighted average costs exist
Receipt costs were posted before issues
Delivery Location Report Is Empty
Check that:
Delivery location is correct
Date range is correct
Orders exist for the delivery location
Orders are not archived
Products are not excluded from partner reports
Delivery date, estimated delivery date, or placed date falls inside the range
CSV Download Has Unexpected Columns
Check whether custom columns were selected.
If no columns are provided, Bestellfix uses the default columns for that report type.
PDF Download Fails
Check that:
The delivery location report has data
Date from and date to are valid
The PDF template is available
The report format is set to PDF
Export Is Not Ready
The export job may still be pending or processing.
Wait until the status is completed before downloading.
Download Link Expired
Create a new download link for the completed export job.
Best Practices
Use Date Ranges Carefully
Use short date ranges for detailed analysis and larger date ranges for summaries.
Keep Inventory Posting Up to Date
Reports depend on posted inventory movements.
Receive orders, post counts, process POS sales, and record waste regularly.
Use Delivery Dates
Delivery location reports are more accurate when actual delivery dates are maintained.
Exclude Irrelevant Products
Use product exclusion for partner reports when certain products should not appear in delivery summaries.
Save Frequently Used Reports
Save report configurations for recurring reports such as weekly orders, monthly product activity, or customer overviews.
Export Large Reports
Use background export jobs for larger reports instead of loading everything directly in the browser.
