Order Drafts and Scheduling

Mathership lets you either send an order immediately, save it as a draft, or schedule it for a future date and time. This gives you more control over when an order is sent to the vendor.

Order modes

When completing an order, Mathership can use different order modes.

Send now

Use Send now when the order should be sent to the vendor immediately. After submitting the order:
  • The order is created
  • The vendor receives the order
  • The order appears in your order history
  • Your basket is cleared

Save as draft

Use Save as draft when you want to prepare an order but not send it yet. Draft orders are useful when:
  • You want to review the order later
  • Another team member should check the order first
  • You are still waiting for final quantities
  • You want to prepare recurring orders in advance
Draft orders are not sent to the vendor until they are submitted.

Schedule order

Use Schedule order when the order should be sent at a later date and time. Scheduled orders are useful when:
  • You prepare orders outside office hours
  • You want to send an order at a specific time
  • You plan recurring purchasing workflows in advance
  • You want to avoid sending orders too early
A scheduled order must have a future date and time.

Save an order as draft

To save an order as a draft:
  1. Add products to your basket
  2. Review quantities and prices
  3. Select the delivery location
  4. Add order notes if needed
  5. Choose Save as draft
  6. Confirm the action
The order is saved but not sent to the vendor.

Send a draft order

To send a draft order:
  1. Open the saved draft
  2. Review the products and quantities
  3. Check the delivery location
  4. Update notes if needed
  5. Click Send order or Place order
  6. Confirm the order
After confirmation, Mathership sends the order to the vendor.

Schedule an order

To schedule an order:
  1. Add products to your basket
  2. Review the order
  3. Select the delivery location
  4. Add order notes if needed
  5. Choose Schedule order
  6. Select a future date and time
  7. Confirm the scheduled order
The order is saved and will be sent according to the selected schedule.

Scheduling rules

When scheduling an order:
  • A date and time are required
  • The selected date and time must be in the future
  • Orders cannot be scheduled for a time that has already passed
  • The order is not sent immediately

Order details

Draft and scheduled orders can include the same order information as regular orders:
  • Products
  • Quantities
  • Product prices
  • Delivery location
  • Order notes
  • Vendor information

Order attachments

When an order is eventually sent to the vendor, Mathership can include an order attachment. The attachment format depends on your company settings:
  • PDF
  • CSV
You can manage this under your restaurant settings.

When to use each mode

Use Send now when

  • The order is ready
  • The vendor should receive it immediately
  • No further review is needed

Use Save as draft when

  • The order is not final yet
  • Quantities may still change
  • Another person should review it
  • You want to prepare the order in advance

Use Schedule order when

  • The order is ready, but should be sent later
  • You want to prepare orders ahead of time
  • The vendor should receive the order at a specific time

Troubleshooting

I cannot schedule an order

Check that:
  • You selected a date and time
  • The selected time is in the future
  • Your internet connection is stable

My draft was not sent to the vendor

Drafts are not sent automatically. Open the draft and submit it when you are ready to send the order.

The vendor did not receive the order yet

Check whether the order was:
  • Sent immediately
  • Saved as draft
  • Scheduled for a future time
If the order is scheduled, it will only be sent at the selected date and time.
