Vendor Catalog

The vendor catalog helps restaurants discover public vendors in Mathership and add them to their vendor list. Use the catalog when you want to find new suppliers, follow a vendor, or reconnect with a vendor that is already available in Mathership.

What is the vendor catalog?

The vendor catalog is a searchable list of vendors who have made their company publicly visible in Mathership. A catalog entry can show:
  • Vendor name
  • City
  • Phone number
  • Website
  • Number of available products
  • Whether you already follow the vendor
Only public vendors are shown in the catalog.
The catalog is available for restaurant/customer accounts. Vendor accounts use their own customer management tools.

When to use the vendor catalog

Use the vendor catalog when you want to:
  • Find vendors already using Mathership
  • Add a vendor to your restaurant account
  • Browse vendors by name or city
  • Check whether you already follow a vendor
  • Activate a vendor connection from an invitation
  • Remove a vendor from your active vendor list

Viewing the vendor catalog

To open the vendor catalog:
  1. Go to Settings
  2. Open Manage Vendors
  3. Open the Vendor Catalog
Depending on your setup, the catalog may also be accessible from the ordering or vendor management area.

Searching vendors

You can search vendors by:
  • Vendor name
  • City
Example searches:

Vendor information

Each catalog entry may include the following information:

Following a vendor

Following a vendor adds the vendor to your restaurant’s active vendor list. To follow a vendor:
  1. Open the Vendor Catalog
  2. Search for the vendor
  3. Select the vendor
  4. Click Follow
After following a vendor:
  • The vendor is connected to your restaurant company
  • The vendor can appear in your vendor list
  • The vendor’s products can become available for ordering
  • Orders can be placed with that vendor, depending on product availability and account settings

What happens in the background

When you follow a vendor, Mathership creates a relationship between your restaurant company and the vendor company. This relationship is used for:
  • Showing vendor products
  • Placing orders
  • Assigning customer numbers
  • Managing vendor/customer permissions
  • Checking whether the vendor is active for your company

Already following a vendor

If you already follow a vendor, the catalog shows this status. If you click follow again, Mathership keeps the existing connection. If the relationship was previously inactive, following the vendor again can reactivate it.

Invitations and customer numbers

If a vendor invited you before, Mathership checks for a matching pending invitation when you follow that vendor. If a matching invitation exists:
  • The invitation is activated
  • The vendor connection is created or reactivated
  • The vendor’s customer number can be applied automatically
  • The vendor can recognize your restaurant in their customer list

Customer numbers are managed by the vendor. They help the vendor identify your restaurant in their own systems.

Unfollowing a vendor

You can remove a vendor from your active vendor list by unfollowing them. To unfollow a vendor:
  1. Open Manage Vendors
  2. Select the vendor
  3. Click Unfollow
  4. Confirm the action
After unfollowing:
  • The vendor is removed from your active vendor list
  • The relationship is deactivated
  • The vendor’s products are no longer treated as active for your restaurant
  • Previous orders remain in your order history
Unfollowing a vendor does not delete historical orders. Order history remains available for documentation and reporting.

Blocked vendors

A vendor can block a restaurant from following them or ordering from them. If a vendor has blocked your restaurant:
  • The vendor may not appear in the catalog
  • You cannot follow the vendor
  • Products from that vendor are excluded from your available vendor products
  • Orders to that vendor may be prevented

Why a vendor may not appear

A vendor may not appear in the catalog if:
  • The vendor is not public
  • The vendor has blocked your restaurant
  • The vendor does not match your search
  • The city filter does not match
  • You are using the wrong restaurant company
  • Your account does not have customer permissions

Public vendors only

The catalog only shows vendors where public visibility is enabled. Private vendors can still work with restaurants through direct invitations or manually created customer relationships.

Following from an invitation

If you received an invitation from a vendor, following the vendor from the catalog can complete the invitation flow. This is useful when:
  • You registered after receiving an invitation
  • The vendor already assigned you a customer number
  • The vendor wants you to connect yourself
  • The vendor is public and visible in the catalog

Product availability after following

After following a vendor, their products may appear in your ordering area. The available products depend on:
  • The vendor’s product list
  • Product availability status
  • Whether the products are deleted or inactive
  • Whether your restaurant is allowed to order from the vendor
If products do not appear immediately, refresh the product list or check your vendor settings.

Typical workflow

A common vendor catalog workflow looks like this:
  1. Open the vendor catalog
  2. Search for a vendor
  3. Review the vendor details
  4. Follow the vendor
  5. Open your vendor list
  6. Browse products from the vendor
  7. Add products to an order
  8. Place the order

Best practices

Use clear search terms

Search by the vendor’s official company name if possible. If you do not find the vendor, try searching by city or a shorter part of the name.

Check the company before following

Before following a vendor, check that the vendor name, city, and website match the supplier you want to use.

Use invitations when available

If a vendor sent you an invitation, use the same email address for your Mathership account. This helps Mathership match the invitation and apply customer numbers correctly.

Review your vendor list regularly

Remove vendors that are no longer relevant. This keeps your ordering area cleaner and reduces mistakes when placing orders.

Contact the vendor if access is missing

If a vendor should be visible but does not appear, contact the vendor. They may need to enable public visibility or invite your restaurant directly.

Common problems

Vendor does not appear

Check that:
  • The vendor is public
  • The search term is correct
  • The city filter is not too narrow
  • You are using the correct restaurant company
  • The vendor has not blocked your restaurant

I cannot follow a vendor

Possible reasons:
  • Your account is not a restaurant/customer account
  • The vendor is not public
  • The vendor has blocked your restaurant
  • The selected customer company does not belong to your user account

Vendor is followed but products do not appear

Check that:
  • The vendor has active products
  • Products are not deleted
  • Products are marked as available
  • You are viewing the correct restaurant company
  • The product list has been refreshed

Customer number is missing

The customer number may be missing if:
  • The vendor did not assign one
  • You followed the vendor directly from the catalog
  • No matching invitation was found
  • The invitation used a different email address
Contact the vendor if a customer number should be added.

Vendor still appears after unfollowing

Refresh the vendor list. If the vendor still appears as active, check whether the relationship was reactivated through an invitation or another account action.
