# Organization

> Manage your organization, companies, members, invitations, roles, and company access

# Organization

Use **Organization** settings to manage the business structure behind your Mathership workspace.

An organization can contain one or more companies. Each company can represent a restaurant, location, branch, business unit, or operating company. Organization settings also control who can access which companies and what each member is allowed to do.

## What is an organization?

An organization is the top-level structure that groups your companies in Mathership.

Use an organization when you manage:

* More than one restaurant
* Several company locations
* A central office and multiple operating locations
* A restaurant group
* Separate companies with shared administration
* Teams that need different permissions for different companies

## Organization vs. company

| Level        | What it means                                                                                                |
| ------------ | ------------------------------------------------------------------------------------------------------------ |
| Organization | The parent structure that groups companies, members, invitations, subscription information, and access rules |
| Company      | A specific restaurant, location, business unit, or operating company inside the organization                 |

Example:

## What you can manage

Depending on your access level, Organization settings can include:

* Organization name
* Organization plan and subscription status
* Billing cycle
* Seats
* Companies
* Organization members
* Pending invitations
* Company-level access
* Per-company roles and permissions

Some areas are only visible to owners, admins, or users with user-management permissions.

## Access Organization settings

To open Organization settings:

If you do not belong to any organization yet, Mathership shows a message that no organization is available.

## Organization header

The top of the Organization page shows the current organization name.

Depending on your access, you may also see:

| Item                | Meaning                                                              |
| ------------------- | -------------------------------------------------------------------- |
| Owner badge         | Indicates that you are the organization owner                        |
| Plan badge          | Shows the current subscription plan                                  |
| Rename button       | Lets owners rename the organization                                  |
| Switch organization | Lets you switch between organizations if you belong to more than one |

## Switch organization

If you belong to more than one organization, use **Switch organization** to change the organization shown on the page.

The switcher includes search, so you can quickly find an organization by name.

When you switch organization, Mathership also switches to a company that belongs to the selected organization so the workspace stays consistent.

## Organization details

Below the header, Mathership shows organization details such as:

| Detail        | Meaning                                     |
| ------------- | ------------------------------------------- |
| Org ID        | Internal organization ID                    |
| Status        | Current subscription or organization status |
| Billing cycle | Billing interval, if available              |
| Seats         | Number of seats available or configured     |
| Created       | Date the organization was created           |

## Summary cards

The Organization page shows summary cards.

| Card                | Meaning                                                                        |
| ------------------- | ------------------------------------------------------------------------------ |
| Companies           | Number of companies in the organization                                        |
| Members             | Number of members in the organization, visible to users who can manage members |
| Pending invitations | Number of pending invitations, visible to users who can manage members         |
| Plan                | Current plan and status                                                        |

## Rename organization

Owners can rename the organization.

    Type the new organization name.
  </Step>

The organization name is used in the organization switcher and in organization settings.

## Companies

The **Companies** section lists the companies that belong to the organization.

Each row shows:

| ------------- | ------------------------------------------ |
| Business name | Company name                               |
| City          | Company city, if available                 |
| Your role     | Your role or access level for that company |

Click a company row to open the access page for that company.

## Add a company

Users with the required organization permissions can add a company.

    Add the company information.
  </Step>

    Save the company so it becomes part of the organization.

  The **Add company** button is only shown to users who are allowed to add companies, such as organization admins, owners, or users with billing/company-management permissions.

## Edit a company

If you are an owner or admin for a company, the company row can show an **Edit** button.

Use **Edit** to update company information.

Changes apply to that company and may affect how it appears in company lists, reports, settings, and order workflows.

## Company roles

The organization page shows your role for each company.

Common role indicators include:

| Role                  | Meaning                                       |
| --------------------- | --------------------------------------------- |
| Owner                 | Full owner-level access                       |
| Admin                 | Administrative access                         |
| Member or custom role | Access based on assigned role and permissions |

## Members

The **Members** section is visible to users who can manage organization users.

It shows all members who belong to the organization.

Each row can show:

| Column             | Description                          |
| ------------------ | ------------------------------------ |
| Member             | Name and email address               |
| Role               | Organization-wide role, if assigned  |
| Per-company extras | Number of company-specific grants    |
| Actions            | Edit or remove member, where allowed |

## Invite a member

Users with the required permission can invite new members.

    Use the **Invite member** button in the Members section.
  </Step>

  <Step title="Enter the email address">
    Enter the email address of the person you want to invite.
  </Step>

  <Step title="Choose access">
    Select whether the person should get organization-wide access or access to specific companies.
  </Step>

  <Step title="Send invitation">
    Send the invitation.
  </Step>

The invited person receives an email invitation.

## Edit member access

Use **Edit** on a member row to change that person's access.

You can adjust:

* Organization-wide access
* Company-specific access
* Role
* Permissions

Owners cannot be edited from the regular member table.

## Remove a member

Users with the required permission can remove members.

You cannot remove:

* The organization owner from the regular member table
* Yourself from certain access views

When a member is removed, they lose the relevant organization or company access.

  Remove members carefully. Removing access can prevent someone from placing orders, managing inventory, viewing reports, or managing users.
</Warning>

## Pending invitations

The **Pending invitations** section shows invitations that have been sent but not yet accepted.

Each invitation row can show:

| Column  | Description            |
| ------- | ---------------------- |
| Email   | Invited email address  |
| Role    | Invited role           |
| Expires | Invitation expiry date |
| Actions | Revoke invitation      |

## Revoke an invitation

If an invitation should no longer be used, click **Revoke**.

Revoking an invitation prevents the recipient from using that invitation to join the organization or company.

## Company access page

Click a company row in the Companies section to open the company access page.

The company access page shows who has access to that specific company.

It includes:

* Company ID
* City, if available
* Organization name
* Members with access
* Pending company invitations
* Invite to this company button, if you can manage access

## Access sources

A member can have access to a company in different ways.

| Source      | Meaning                                                   |
| ----------- | --------------------------------------------------------- |
| Org owner   | The organization owner has access through ownership       |
| Org-wide    | Access comes from an organization-wide role or permission |
| Per-company | Access was granted specifically for that company          |

This helps you understand why someone can access a company.

## Members with access

On the company access page, the **Members with access** table shows:

| Column  | Description                                                               |
| ------- | ------------------------------------------------------------------------- |
| Member  | Name and email address                                                    |
| Role    | Role for this company                                                     |
| Source  | Whether access comes from owner, organization-wide, or per-company access |
| Actions | Edit or remove access, where allowed                                      |

## Invite to a company

On a company access page, users with permission can invite someone directly to that company.

    Use the button in the top right.

    Enter the email address and choose the access level.

Company invitations appear under pending invitations for that company until they are accepted or revoked.

## Permissions and capabilities

Roles can include specific capabilities.

Capabilities control what a member can do.

| Capability          | What it allows                                                     |
| ------------------- | ------------------------------------------------------------------ |
| Create drafts       | Create order drafts                                                |
| Send orders         | Send orders to vendors                                             |
| View financials     | View prices, financial reports, and financial data                 |
| Manage inventory    | Manage inventory-related features                                  |
| Manage recipes      | Manage recipes and recipe-related features                         |
| Manage integrations | Manage connected systems and integration settings                  |
| Manage users        | Invite, edit, or remove members                                    |
| Manage billing      | Manage billing-related or company-management areas where available |

## Organization-wide vs. per-company access

Mathership supports both broad and narrow access.

| Access type              | Best for                                                     | Example                                                       |
| ------------------------ | ------------------------------------------------------------ | ------------------------------------------------------------- |
| Organization-wide access | People who work across all companies                         | Central admin, group manager, owner                           |
| Per-company access       | People who should only access selected companies             | Restaurant manager for one branch                             |
| Mixed access             | People with general access plus extra rights for one company | Regional manager with extra financial access for one location |

## How organization access affects the app

Organization and company access can affect whether a user can:

* Switch between companies
* Place orders
* Create drafts
* Send orders
* View financial data
* Manage inventory
* Manage recipes
* Manage integrations
* View reports
* Manage members
* Add companies
* Change company-level settings

## Common workflows

### Review organization setup

1. Open **Settings** → **Organization**
2. Check organization name, plan, status, billing cycle, seats, and creation date
3. Review companies
4. Review members, if visible
5. Review pending invitations, if visible

### Add a company

1. Open **Settings** → **Organization**
2. Click **Add company**
3. Enter company details
4. Save the company
5. Review the company in the Companies table

### Invite a new organization member

1. Open **Settings** → **Organization**
2. Click **Invite member**
3. Enter the email address
4. Choose organization-wide or company-specific access
5. Send the invitation

### Give someone access to one company only

1. Open **Settings** → **Organization**
2. Click the company row
3. Click **Invite to this company**
4. Enter the email address
5. Assign the correct role or permissions
6. Send the invitation

### Change a member's access

1. Open **Settings** → **Organization**
2. Find the member in the Members table
3. Click **Edit**
4. Adjust organization-wide or company-specific access
5. Save the changes

### Remove access from a company

1. Open **Settings** → **Organization**
2. Click the company row
3. Find the member in **Members with access**
4. Click the remove action
5. Confirm removal

## Best practices

    Give members only the access they need. Use organization-wide access only when someone works across all companies.

    Give branch managers or local staff access only to the companies they work with.

    Only assign financial access to users who should see prices, financial reports, and purchase values.

    Revoke invitations that are no longer needed or were sent to the wrong email address.

    Clear company names make switching, reporting, ordering, and access management easier.

## Common problems

  <Accordion title="I do not see Organization settings">
    You may not belong to an organization yet, or you may not have access to organization settings.

    Ask an owner or admin to check your access.
  </Accordion>

  <Accordion title="I cannot see members or invitations">
    Member and invitation management is only visible to users who can manage organization users.
  </Accordion>

  <Accordion title="I cannot add a company">
    Adding companies requires owner, admin, or billing/company-management access.
  </Accordion>

  <Accordion title="I cannot edit a company">
    You usually need owner or admin access for that company.
  </Accordion>

  <Accordion title="I cannot remove a member">
    Owners cannot be removed from the regular member table.

    You may also be prevented from removing yourself from some access views.
  </Accordion>

  <Accordion title="A user can access a company even though I did not add them directly">
    Check the **Source** column on the company access page.

    Their access may come from organization-wide access or ownership.
  </Accordion>

  <Accordion title="An invited user has not joined yet">
    Check pending invitations.

    The invitation may still be pending, expired, or sent to the wrong email address.
  </Accordion>
