# Delivery Locations

> Manage delivery addresses and link them to storage units for orders and inventory receiving

# Delivery Locations

Use **Delivery Locations** to manage the places where vendors should deliver your orders.

Delivery locations are company-specific. If you manage more than one company or restaurant location, make sure the correct company is selected before adding, editing, or deleting delivery locations.

## What is a delivery location?

A delivery location is a saved receiving address for a company.

You select a delivery location when placing an order so the vendor knows where the goods should be delivered.

You select a delivery location when placing an order so the vendor knows where the goods should be delivered.

Delivery locations can represent:

* Restaurant addresses
* Kitchens
* Bar storage
* Cold rooms
* Dry storage
* Central warehouses
* Catering locations
* Temporary event receiving points
* Other receiving addresses

## Where delivery locations are used

Delivery locations are used across Mathership.

## Access Delivery Locations

To open Delivery Locations:

## Delivery locations list

The Delivery Locations page shows a table of saved locations for the selected company.

| Column       | Description                                        |

| Name         | Internal name of the delivery location             |
| Address      | Street, number, postal code, and city              |
| Storage unit | Linked inventory storage unit, if one is connected |
| Phone        | Contact phone number for the location              |
| Actions      | Edit or delete the delivery location               |

A location marked as **Default** is shown with a default badge.

## Search delivery locations

Use the search field above the table to find a location quickly.

Search checks:

* Name
* Street
* Street number
* Postal code
* City
* Phone
* Customer number
* Linked storage unit name
* Address addition

The result count is shown next to the search field.

If there are no matches, Mathership shows **No results.**

## Empty state

If no delivery locations have been created yet, the page shows:

> No delivery locations yet.

Create your first delivery location using **Add delivery location**.

## Add a delivery location

## Delivery location fields

Depending on your setup, a delivery location can include:

| Field            | Description                                                |

| Name             | Internal name used in checkout, order history, and reports |
| Street           | Street name                                                |
| Number           | Street number                                              |
| Postal code      | Postal or ZIP code                                         |
| City             | City                                                       |
| Phone            | Contact phone number for the delivery location             |
| Customer number  | Optional customer or store number used by suppliers        |
| Address addition | Optional extra address details or delivery instructions    |
| Storage unit     | Optional linked inventory storage unit                     |
| Default          | Marks the primary delivery location for the company        |

Use complete address details so vendors can deliver without follow-up questions.

## Naming examples

Use names your team can recognize quickly.

## Default delivery location

A default delivery location is marked with a **Default** badge.

The default location is useful when your company normally receives orders at one main address.

  The default delivery location cannot be deleted directly from the table. Choose or create another default location first if the current default is no longer needed.

## Edit a delivery location

<Steps>

    Use the search field if needed.
  </Step>

  <Step title="Click Edit">
    Click **Edit** in the row actions.
  </Step>

  <Step title="Update the details">
    Change the name, address, phone, customer number, storage unit, or other fields.
  </Step>

  <Step title="Save changes">
    Save the form.
  </Step>

Changes apply to future orders.

Existing orders that already used the previous delivery location details are not changed retroactively.

## Delete a delivery location

    Click the trash icon in the row actions.
  </Step>

    Confirm the dialog to remove the delivery location from new orders.

Deleted locations are no longer available for new orders.

Existing orders that already used the location remain unchanged.

<Warning>
  Deleting a delivery location removes it from future selection, but it does not rewrite older orders.
</Warning>

## Use delivery locations in checkout

When placing an order, select the delivery location during checkout.

The selected delivery location appears in order details and can be used later for filtering and reporting.

## Use delivery locations in order history

Order history can show and filter orders by delivery location.

Use this when you want to:

* Review orders for one restaurant location
* Find orders delivered to a specific kitchen or storage area
* Check which location was used on a past order
* Review orders that still need to be received into inventory

## Delivery date and delivery location

Delivery locations define **where** an order should be delivered.

Delivery dates define **when** the order is expected or received.

An order can include:

| Field                   | Meaning                                           |
| ----------------------- | ------------------------------------------------- |
| Delivery location       | Where the order should arrive                     |
| Estimated delivery date | When the order is expected                        |
| Actual delivery date    | When the order was actually delivered or received |

These fields work together but represent different parts of the delivery process.

## Inventory connection

A delivery location can be linked to a storage unit.

This is useful when goods delivered to a specific address should normally be received into a specific inventory location.

Example:

| Bar Delivery       | Bar Storage         |

When receiving orders, this connection helps your team choose the correct storage location more consistently.

## Customer numbers

A delivery location can store a customer number.

Use this if a vendor or supplier identifies a specific restaurant, store, or delivery address with a customer number.

Examples:

| Vendor customer number      | 123456       |
| Internal location reference | BER-MITTE-01 |

Customer numbers can also help vendors match orders to the correct delivery account.

## Address additions and delivery instructions

Use address additions for short and useful delivery details.

Good examples:

* Deliver to back entrance
* Goods receiving behind kitchen
* Ring bell at side door
* Cold goods to cold room
* Beverage delivery via courtyard

Avoid long notes that are not needed by the vendor.

## Company-specific locations

Delivery locations belong to one company.

If you manage multiple companies or restaurant locations:

1. Select the correct company
2. Open **Delivery Locations**
3. Add or edit locations for that company

A delivery location from one company is not automatically available in another company.

## Permissions

You can only manage delivery locations for companies you are allowed to access.

If you cannot add, edit, or delete a delivery location, your account may not have the required access for that company.

## Common workflows

### Add a new restaurant location

1. Select the correct company
2. Go to **Settings** → **Delivery Locations**
3. Click **Add delivery location**
4. Enter the name and full address
5. Add phone, customer number, and address addition if needed
6. Link a storage unit if inventory receiving should use one
7. Save the location

### Prepare inventory receiving

1. Create the needed storage unit under **Inventory** → **Storage Units**
2. Open **Settings** → **Delivery Locations**
3. Edit the matching delivery location
4. Link the storage unit
5. Save the change

### Find a location quickly

1. Open **Delivery Locations**
2. Type part of the name, address, phone number, customer number, or storage unit into the search field
3. Review the matching results
4. Edit or open the location you need

### Remove an old location

1. Search for the old location
2. Check that it is not marked as **Default**
3. Click the trash icon
4. Confirm deletion

## Troubleshooting

    * The order page was refreshed after creating the location

    * The correct delivery location was selected at checkout

    * The correct company was active when the order was placed

    Also review the receiving order sheet before posting inventory movements.
